Configuring Docusign Settings

Before users can request Docusign signatures for documents stored in a Laserfiche repository, an administrator must configure the Docusign integration.

To enable users to request signatures directly from Laserfiche, complete the following tasks:

  • You must configure Docusign to communicate with Laserfiche.
  • You must specify account information for your Docusign account in Laserfiche, and determine what Docusign information to store in your documents.

Note: The integration requires a Docusign production account.

Setting Up Docusign to Communicate with Laserfiche

  1. In Docusign, navigate to the Admin page.
  2. Under Integrations, click Connect.
  3. Under Add Account Configuration, click Custom.

Listener Settings

  1. Next to Name, specify a display name for this Docusign Connect service.
  2. In the URL to publish to option, specify the URL to the import web service. By default, the URL will look similar to the following, with 000ab000 replaced with the actual value in your URL and <DOMAIN> value is listed below according to the datacenter hosting your repository:
  3. https://<DOMAIN>/DocusignConnectService/ReceivePDF?repo=r-000ab000

    • US datacenter: app.laserfiche.com
    • Canada datacenter: app.laserfiche.ca
    • Europe datacenter: app.eu.laserfiche.com
  4. Enable the following general options:
    • Enable Log (maximum 100)
    • Require Acknowledgment. This helps verify the Laserfiche Docusign Connect Service (which documents back into Laserfiche) is healthy and functional. Docusign will record an error if it does not receive acknowledgment from the Laserfiche Docusign Connect Service.

Event Settings

  • Under Data Format, select Legacy as the data format option. Under Event Message Delivery Mode, the Aggregate event message delivery mode will be automatically selected.

Envelope and Recipients

Under Envelope Events, Laserfiche supports the following event types. When these events occur, Docusign will send the document and information to Laserfiche.

  • Envelope Signed/Completed
  • Envelope Declined
  • Envelope Voided
  • Envelope Sent
  • Envelope Delivered

Tip: Depending on your workflow, you may want to track when envelopes are declined or voided. Although Laserfiche supports Envelope Sent and Envelope Delivered, these events are often less useful because they can create new document versions in Laserfiche even when the document itself has not changed.

Under Include Data, select:

  • Document PDFs
  • Time Zone Information
  • Sender Account as Custom Field

Associated Users/Groups

  • Specify which Docusign users' actions will send Docusign event messages to the Laserfiche Docusign Connect Service.

When you've finished configuring the account, click Add Configuration.

Creating Apps, Keys, and Passwords in Docusign

  1. In Docusign, navigate to the Admin page.
  2. Under Integrations, click Apps and Keys.
  3. Under My Account Information, copy your API Account ID. You will need this ID when configuring the Docusign Integration in Laserfiche.
  4. Select your avatar in the top right, and select Manage Profile.
  5. Select Privacy and Security.
  6. Under Additional Security, click Generate App Password.
  7. Create a custom name for your generated password. Copy this password elsewhere since the app password cannot be viewed again once you click Close. You will need this password when configuring the Docusign Integration in Laserfiche.

Creating a Template

Docusign templates define signing instructions for specific sets of documents.

  1. From the main Docusign menu along the top of the page, select Templates.
  2. Select Create a Template. Learn more about creating templates in Docusign.
  3. Templates must have a document and recipient information.

Configuring Docusign Import Settings in Laserfiche

  1. Sign in to Laserfiche Cloud as an Administrator.
  2. From the app picker in the upper right corner, select Repository Administration.
  3. Under Integrations, select Docusign.
  4. Note: You must have the Manage Repository Configuration privilege to access this page.

  5. In the Docusign Account Integrations section, specify the following:

    • Docusign API account ID
    • Email address of the account that generated the app password
    • Note: The specified account must have the Allow send on behalf of other users through API permission enabled.

    • App password created by this email profile. (This is not the Docusign account password for your Docusign account.)
  7. Optional: In the Envelope Status section, specify how signed documents will be stored in Laserfiche. For each event (Completed, Declined, Voided, Sent, and Delivered), select the corresponding event tab and do the following:
    • Specify where documents will be stored, by typing a path in the Folder path option. You can also make the path dynamic using tokens; type a token or use the token picker to select a token that corresponds to the Docusign information that you want to use to create the path.     • Store Docusign information in Laserfiche fields, by clicking Add/remove fields and selecting one or more fields. Then type a token or use the token picker to select a token that corresponds to the Docusign information you want to store. See Docusign Tokens for more information on available tokens.

    Note: These folder paths are only utilized for documents originating outside of Laserfiche. If you start the signature request process on an entry from within the Laserfiche web client, the signed document will return as a new version of the entry. Its folder location will not change.

  8. Optional: If you want to receive error messages pertaining to errors encountered when using the Docusign integration, select Send error notifications. In the Recipients option, type the email address or addresses (separated with a comma) to which you want the messages to be sent, and then select the desired event log level:
    • Error: Only log major errors.
    • Warning: In addition to major errors, the integration also logs minor issues (e.g., field mismatch errors).
    • Information: Verbose logging.
  9. Click Save to save your changes.

Repository Access

DocuSign User

The integration signs in to the repository using a dedicated Laserfiche user named DocuSignUser. Administrators can configure repository entry access rights for this user.

Note: In order for Docusign to send the documents back to Laserfiche, the DocuSignUser needs to have read/write access to the folder that you are requesting the documents, signed completed documents, voided and etc.

Laserfiche Accounts using Docusign

Additionally, you must configure users' Laserfiche accounts so that they can request Docusign signatures on documents within Laserfiche.

To configure a Laserfiche account so it can request Docusign signatures:

  1. Navigate to the app picker in the upper right, and select your repository.
  2. Click profile in the upper right, and select Options.
  3. Under Advanced, enter the Docusign email and your app password.
  4. Click Validate.
